Guide from the old report to the new one
If you used the old settlement report and are moving to the new one, this guide is for you. If you want every detail of how the new report works, see Understand the Settlement report. Just like the old report, the new one is available in xlsx and csv formats. In xlsx, the old Overview and Transactions sheets have been replaced by Summary and Details. This article focuses on the xlsx version. The csv is identical to the Details sheet.
Start with Summary
If you used to begin in the old Overview sheet, begin in Summary now. Like the old Overview, it gives you a quick way to recognise payouts and check the main figures before you go into transaction-level detail. Some columns have been renamed:
- Amount -> Payout
- Gross Amount -> Captures
- Receiver Account -> Payout account
- Transfer Reference -> Payout reference
- Transfer Date -> Scheduled payout date
The Summary sheet also shows some things that weren’t shown in the old Overview sheet:
- Remaining balance, so you can see money carried forward if the day didn't have a payout
- Fee status, so you can see whether fees were Retained or Invoiced
- Other, for less common entries (all possible types listed here)
An important change is that Summary is daily, so there is a row for each Sales unit and date in the selected period.
Then use Details
If you used the Transactions sheet before, use Details now. This is where you see the exact entries behind a payout, find details about payments, and where you go to investigate any discrepancies. Some important columns have been renamed:
- Product -> Payment solution
- Payment Point Name -> Sales unit
- MSN and MyShop Number -> MSN/MobilePay number
- Payment -> Capture
- Merchant Reference -> Order ID/Reference
Where the old Transactions sheet was often read as "these transactions belong to this payout", the new Details sheet is easier to read as a chronological balance timeline, where:
- Each row changes the balance
- The Balance column shows the balance afterwards
- Payout scheduled shows when money was drawn from the balance for payout
So if you want to see the transactions behind a payout, find the Payout scheduled row and then read the rows above it, back to the previous Payout scheduled row.
To quickly locate a payout, search (Ctrl+F / ⌘+F) for the payout reference from your bank statement.
How to include personal information in the report
In the old report, personal information was included automatically. In the new report, you must select Personal information when you download the file if you want these columns included in Details:
- Customer name
- Customer phone number
- Message
Note that we only provide this information for MobilePay number sales units. If you choose to include it in the report, you are responsible for handling it in line with GDPR.
A few things that work differently in Details
Amount should be read together with Type
The same Amount column is used for different kinds of rows. That means you often want to filter on Type before you sum amounts - or, even better, use a pivot table.
Fees
In the old report, capture fees were shown as separate rows. In the new one, the fee for a capture is shown in the Fee column on the capture entry instead. Special Fees retained rows show when the fees were actually deducted from the balance. Normally, the total fees for a day are deducted in one entry at the end of the day.
The csv format
The csv version of the new report is equal to the Details sheet in the xlsx version. It doesn't include the Summary sheet. A technical change:
- The old csv report used semicolon as the separator, and comma for decimals
- The new csv report uses comma as the separator, and period for decimals
Text fields, such as the Message column, are surrounded by quotes when needed, for example if they contain commas, quotes or line breaks. Example files can be found here.
